1. Introduction
Hope Care Welfare Foundation (HCWF) is a nonprofit welfare organization committed to serving humanity through healthcare assistance, education, poverty alleviation, community development, and humanitarian support.
We sincerely appreciate the generosity and trust of our donors, partners, and supporters. Every contribution helps us provide essential services and bring hope to vulnerable individuals and communities.
This Refund Policy explains the circumstances under which donations may be refunded, the process for requesting a refund, and the conditions applicable to donations made through our website or other authorized payment channels.
2. General Donation Refund Policy
Donations made to Hope Care Welfare Foundation are generally considered voluntary and non-refundable because contributions may be allocated to charitable programs and humanitarian activities.
However, HCWF recognizes that payment errors and exceptional circumstances may occur. We are committed to reviewing legitimate refund requests fairly, transparently, and in accordance with applicable laws.
Refunds may be considered in the following circumstances:
-
An accidental duplicate donation or transaction.
-
An incorrect donation amount entered due to a genuine error.
-
An unauthorized or fraudulent transaction, subject to verification.
-
A technical or payment processing error resulting in an incorrect charge.
-
Other exceptional circumstances approved by HCWF management.
Submitting a refund request does not automatically guarantee approval.
3. Refund Request Eligibility
Donors are encouraged to submit refund requests within 7 calendar days of the original donation date.
Requests submitted after this period may still be considered in exceptional circumstances or where required by applicable law.
Refund eligibility will depend on the nature of the transaction, available supporting evidence, whether the donated funds have already been committed or distributed, and applicable legal obligations.

5. Refund Review and Processing Time
Once a refund request has been received, our authorized team will review the information and assess eligibility.
We aim to acknowledge refund requests within 3 business days and communicate a decision within 7–10 business days after receiving the required information.
If a refund is approved, HCWF will initiate repayment through the original payment method whenever technically possible.
The time required for the refunded amount to appear in the donor's account may vary depending on the bank, payment gateway, or financial service provider.
Additional verification or processing time may be required for international transactions.
6. Non-Refundable Donations
Refunds may ordinarily be declined in the following circumstances:
-
Donations already distributed to beneficiaries or committed to charitable projects.
-
Donations made knowingly and voluntarily without a valid refund reason.
-
Requests involving insufficient or unverifiable transaction information.
-
Requests made after the stated review period without exceptional justification.
-
Donations made through third-party fundraising platforms where refunds are governed by the platform's applicable policies.
These limitations do not override any refund rights or remedies required by applicable law.
7. Recurring Donations
If HCWF offers recurring or monthly donation subscriptions, donors may request cancellation of future payments through the available donation management system or by contacting our support team.
Cancellation will apply to future scheduled donations after it has been processed.
Previously completed recurring donations will be reviewed under the same refund eligibility conditions outlined in this policy.
8. Donations Through Third-Party Payment Providers
HCWF may accept donations through authorized banks, digital wallets, online payment gateways, and other approved financial channels.
Transactions processed by third-party providers may also be subject to their respective terms, processing procedures, and refund restrictions.
HCWF will provide reasonable assistance in resolving payment-related issues involving authorized donation channels.
9. Campaign-Specific Donations
Donations made toward specific campaigns, medical assistance programs, emergency relief operations, educational initiatives, or other designated projects are intended to support the stated charitable purpose.
Where donated funds have already been allocated, committed, or distributed, refunds may not be possible except where legally required.
If a designated campaign cannot proceed as planned, HCWF will determine an appropriate course of action consistent with donor restrictions, applicable law, and the organization's charitable objectives. Where necessary, donor consent will be requested before redirecting restricted funds.
10. Unauthorized Transactions and Fraud Prevention
HCWF takes financial transparency, donor protection, and transaction security seriously.
If you believe a donation was processed without your authorization, please contact your bank or payment provider promptly and notify HCWF.
We may temporarily suspend processing of a disputed transaction while the matter is reviewed.
Fraudulent refund requests or deliberately misleading claims may be rejected and referred to appropriate authorities where warranted.
11. Refunds for Offline Donations
Donations received through bank transfers, cash deposits, or other offline methods will be reviewed individually.
Refunds, where approved, will normally be issued to the verified original donor through an appropriate traceable payment method.
HCWF may request proof of payment and donor identity before authorizing any repayment.
12. Transparency and Accountability
Hope Care Welfare Foundation is committed to maintaining responsible financial practices and ensuring that charitable resources are used for their intended purposes.
Refund requests and related financial adjustments will be documented appropriately to support accountability, financial reporting, and internal controls.
Our commitment to donors is guided by integrity, fairness, compassion, and transparency.
13. Changes to This Refund Policy
HCWF reserves the right to update or amend this Refund Policy to reflect changes in organizational procedures, donation systems, or applicable legal requirements.
Any revisions will be published on our official website with an updated effective date.
